VENDOR RULES AND GENERAL INFORMATION

• Merchandise sites sold on first-paid, first-reserved basis.
• Merchandise sites are sold in 10' increments. You are permitted to sell within the space you purchase. ABSOLUTELY NO ROAMING SALES ALLOWED! Anyone found selling outside of their purchased space will forfeit their space and will no longer be eligible for vending space in the future Winfield Country Roundup Events.
• If new to our event, a photo of your exhibit, items/menu items and prices MUST accompany you application. Anyone selling unauthorized items will be removed from the grounds. All must be approved prior to acceptance.
• Winfield Country Roundup will not allow any items i.e., flags, T-shirts, bandanas, novelty items, to be sold or promoted that reference illegal activity, violence, profanity, nudity or discrimination. This is a NO tolerance policy. WCR reserves the right to remove from the grounds, any vendor breaching this policy and will result in permanent termination from displaying at any future WCR events.
• Kansas Sales Tax- Kansas requires most persons making retail sales within the State of Kansas to collect and remit sales tax. This includes most non-profit organizations and those selling only one time per year. Vendors may use their current registration number. If you do not have a number, you may register for tax collected must then be remitted to KDOR immediately after the event. All registered and temporarily registered vendors need to display their current certificate in a visible place during the event. • No early tear downs allowed. Booths will open and close corresponding with he event hours posted. Vendors are required to stay open until the last act has started on Thurs. and until 11 p.m. on Fri. and Sat. nights.
• Minimum lighting is provided; however no light fixtures, bulbs or power cords will be provided. It is recommended that you bring a minimum of 100' of USL listed outdoor power cord(s). No tables of display fixtures will be provided for your booth(s)
• Any usage of any type of noise-making devices, flashing lights, etc., must have prior approval by vendor committee.
• Security is provided on a 24-hour basis, however, WCR does not assume responsibility for any stolen or damaged items. Inside vendor spaces are secured and locked each night; outside spaces are NOT secured.
• Additional tickets for you staff working during the event should be purchased in advance. Vendors will receive a special pricing of $75.00 for a full event ticket. These special discounts are available through the WCR office only and all sales should take place before May 24th. Additional parking passes may also be purchased for $15.00 or $5.00 per day. Tradable passes will also be available if you have numerous workers, but these will only get your workers to your booth and back to the main entrance; it will NOT gain them access to concert areas. Tradable passes can be picked up at the Re-entry trailer, but must be returned when your workers shift is over.
• Absolutely NO vehicles will be allowed to exit or enter the interior gates once the gates open to the public each day.
• ALL food vendors MUST be currently licensed by the Kansas Dept. of Health or that of the state in which you reside NO temporary licenses will be permitted. Your license should be posted in you concession where it can be easily seen.
• In effort to keep our event grounds clean and keep your booth fees at the minimum a Refundable Security Deposit of $50.00 per vendor will be required. This fee will be returned to you at the end of the event provided that your area is kept free of trash and debris on a daily basis and swept and returned in the same condition it was rented to you when the event started. Inspection of your premises and return of the Security Deposit will be handled on an individual basis and at the discretion of the Vendor Committee. WCR reserves the right to keep your security deposit if your area is not kept clean on a daily basis and for any trash, debris, items or objects are left at your site.
• Any exhibitors expecting UPS or Fed Ex shipments must be on site to accept packages in their name. WCR will not be responsible for accepting shipments.
• NO video cameras allowed.
• NO pets allowed in the event area.
• There will be 2 vendor access gates available; one on the north end of the interior fence by the main entrance and can be accessed with your vehicle for loading and unloading up to 30 minutes before gates open to the public. A second walking access gate will be announced closer to the event.
• For each 10' increment of booth space you purchase, 2 vendor wrist bands will be available, along with appropriate number of vendor parking passes.
• ALL VENDORS MUST VISIBLY DISPLAY THEIR PRODUCT RETURN POLICY AT THE BOOTH SITE. NO EXCEPTIONS.
• All vendors must be present and operating when gates open to the public and will remain present until closing times. Absolutely NO alcohol consumption during your hours of operation by you or any of your staff.
• Ice will be available to purchase at the event.
• These rules and general information have been established to satisfy the diverse needs of our vendors and patrons. WCR reserves the right to change these regulations anytime, including before or during the event.
